Whitmer’s Property Maintenance uses an internal tool called the WPM Business Assistant to help authorized WPM personnel manage business operations.
The assistant may help us review inquiries, organize customer information, prepare estimates, monitor invoices, identify overdue balances, draft communications, and create internal business summaries.
Access to the WPM Business Assistant is restricted to authorized WPM personnel. We use authentication and access controls intended to prevent unauthorized use.
The assistant may prepare drafts or recommended actions. Customer communications and material changes to business records may require review and approval by an authorized WPM owner or manager before being sent or completed.
4. QuickBooks and Connected Services
The WPM Business Assistant may connect to QuickBooks Online and other business services authorized by Whitmer’s Property Maintenance.
When QuickBooks is connected, the assistant may access information such as:
Customer names and contact information
Customer and company records
Estimates and estimate status
Invoices, due dates, and balances
Payment and transaction information
Products, services, and related accounting information
We use QuickBooks information only for legitimate internal business purposes, including accounting, customer service, estimate management, invoicing, payment follow-up, reporting, and business administration.
The assistant may retrieve QuickBooks records when an authorized person uses the dashboard. Unless otherwise required for an approved feature, QuickBooks business records are not separately and permanently copied into the dashboard’s database. Secure authorization credentials must be stored so the connection can continue operating.
QuickBooks access credentials are stored in encrypted form. They are not displayed publicly or intentionally disclosed to unauthorized personnel.
QuickBooks information is not sold, rented, shared for unrelated marketing, or used to advertise third-party products.
QuickBooks services are provided by Intuit and are also subject to Intuit’s applicable privacy policies and terms.
5. Other Connected Business Services
We may use service providers and connected systems to operate our business, including:
Intuit QuickBooks for estimates, invoices, payments, and accounting
Google and Gmail for email, forms, files, and business communications
Mailchimp for permitted email marketing
Quo or similar providers for business calls and text messages

We authorize connected services only for legitimate business purposes and limit access when reasonably practical.

12. Disconnecting QuickBooks and Requesting Deletion
The authorized QuickBooks administrator may disconnect the WPM Business Assistant through QuickBooks, Intuit account settings, or by contacting Whitmer’s Property Maintenance.
You may contact us to request access to, correction of, or deletion of personal information associated with you. We may need to verify your identity before completing a request.
Certain information may need to be retained for accounting, tax, insurance, contract, fraud-prevention, dispute-resolution, or legal purposes.
Disconnecting QuickBooks stops future access after the authorization is revoked. It does not automatically delete records maintained independently within QuickBooks or other systems.
